Privacy Policy

1. Who we are

Vantiq provides an AI-operated phone answering service to UK businesses. This policy explains what we do with personal data collected through this website and in the course of providing that service.

Vantiq is a trading name of Jack Wiltshire, 8 Helvellyn Avenue, Ramsgate, Kent, CT11 0RS. For anything in this policy, contact enquiries.jarvis@gmail.com.

2. When we are the controller, and when we are not

There are two separate situations, and they are governed differently.

This website. When you contact us or become a client, we decide how your data is used. We are the controller, and this policy applies.

Calls Vantiq answers for a client. When Vantiq answers calls for a business, that business decides why its callers' data is collected and what happens to it. They are the controller and we are the processor acting on their instructions. That relationship is governed by a separate Data Processing Agreement, and the caller should refer to that business's own privacy notice.

3. What we collect through this website

  • Contact form submissions — your name, business name, email address, phone number if you give one, and whatever you write in the message.
  • Email correspondence — anything you send us directly, and our replies.
  • Server logs — our hosting provider records standard technical information such as IP address, browser type and pages requested, for security and reliability.

This site uses no analytics, no advertising trackers, and no cookies that identify you.

4. What we collect when you become a client

  • Business and contact details — your business name, address, phone number, email, and the details of the person we deal with.
  • Service configuration — your opening hours, services, pricing and calendar access, so Vantiq can represent your business correctly to callers.
  • Billing records — our payment provider processes your payment and gives us a record of the transaction. We never see or store your full card details.

5. Why we use it, and our legal basis

  • To answer your enquiry — legitimate interests: you contacted us and expect a reply.
  • To set up and run the service — performance of our contract with you.
  • To take payment and keep accounting records — performance of contract, and legal obligation for tax records.
  • To keep the service secure and working — legitimate interests in running a reliable, secure service.

We do not sell your data, we do not share it for anyone else's marketing, and we do not use it to train AI models for other customers.

6. Who your data is shared with

We use a small number of service providers to run Vantiq — hosting and website infrastructure, telephony and voice processing, data storage, calendar integration, email, and payment processing. Each is bound by a contract that permits them to process the data only to provide their service to us.

We will also disclose data where we are legally required to — for example, to comply with a court order or a lawful request from a regulator.

7. Where your data is held

Our providers may process data outside the UK. Where that happens, the transfer is covered by UK adequacy regulations or by the International Data Transfer Agreement or Addendum, so your data keeps equivalent protection.

8. How long we keep it

  • Contact form and email enquiries — up to 12 months from your last contact, unless you become a client.
  • Client records — for the life of the arrangement and up to 12 months afterwards.
  • Billing and accounting records — 6 years, as UK tax law requires.

Call recordings and transcripts handled on behalf of a client are kept and deleted according to that client's instructions under their Data Processing Agreement, not this policy.

9. Your rights

Under UK GDPR you can ask us to give you a copy of the data we hold about you, correct it if it is wrong, delete it, restrict or object to how we use it, or provide it in a portable format. Where we rely on legitimate interests, you can object and we will stop unless we have compelling grounds to continue.

If you are a caller whose details were taken by Vantiq on behalf of a business, make the request to that business — they are the controller and we will support them in answering it.

10. Complaints

If you think we have handled your data badly, tell us first and we will try to put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

11. Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed. If a change materially affects you as a client, we will tell you directly.
